What report can I use to track Time Off (balances, usage, accrual, requests)?

Refer to the reports page for more details on report types and don’t forget this is how you can download a report.

Time Off Balances

1. Choose the “Reports” option on the left-hand side of your admin landing page

2. Click “New Report” and then “Point-in-time Report”

3. Choose the balance related variables under the Time Off section – see image below.

4. Then choose the point in time you wish this to see the data.

In some instances a payroll report is also very useful for Time Off balances – for example if someone wants to see vacation balances per pay period rather than at a single point in time.

Time Off Usage / Accrual

1. Choose the “Reports” option on the left-hand side of your admin landing page

2. Click “New Report” and then “Trend Report”

3. Choose the fields for the policies needed under “______ usage in hours” (easier to do a control+F for usage)

4. Then choose the timeframe you wish this to apply and the interval; note that there will be one column created per interval, so it may be best to use Quarterly or even Yearly

Time Off Paid in Dollars by Policy Type

1. Choose the “Reports” option on the left-hand side of your admin landing page

2. Click “New Report” and then “Trend Report”

3. Choose the fields for the policies needed under “______ usage in hours” (easier to do a control+F for usage)

4. Choose the field “Hourly Wage”

5. Then choose the timeframe you wish this to apply and the interval; note that there will be one column created per interval, so it may be best to use Monthly.

6. We recommend downloading the file as a CSV and in Excel or another spreadsheet tool multiplying the hour used with the hourly rate.

Time Off Request Details

If you want to see a list of all the requests (pending, denied, approved) then:

1. Choose the “Reports” option on the left-hand side of your admin landing page

2. Click “New Report” and then “Payroll Report” and click “No grouping, no aggregation”

3. Choose the fields needed under Time Off (i.e. Policy type, name, leave start/end date, status)


4. Then use the left pane to select the time period for which you wish this to see the data – the ‘all-time’ of ‘Next 3-month’ selections are to see all past / future requests.
